This Privacy Policy explains how AI Furniture (“we”, “us”, “our”) collects, uses and protects information when our room visualiser widget is used on furniture retailers’ websites (each a “Retailer Site”), and when retailers access our dashboard and services (together, the “Service”).
1. Who is responsible for your data?
When you visit a Retailer Site and use our widget there, your primary relationship is with that retailer. In most cases:
- The retailer is the data controller for information collected on their website.
- We act as a data processor, processing data on the retailer’s behalf to provide the visualiser functionality.
When you interact directly with us (for example, on our own marketing site, or as a retailer using our dashboard), we act as the data controller for the information you provide to us in that context.
2. What information we process
2.1 Information from shoppers using the widget
When a shopper uses our visualiser on a Retailer Site, we may process:
- Room photos uploaded by the shopper (images of their room).
- Product images and metadata from the retailer (e.g. product photos, name, colour, materials, approximate dimensions).
- Technical usage data, such as:
- Timestamp of the visualisation request.
- Store identifier / domain.
- Product ID or URL being visualised.
- Anonymous or pseudonymous identifiers for the session or request.
- High-level performance and error logs (e.g. success/failure, processing time).
We do not intentionally collect the name, email address, delivery address or other contact details of end shoppers through the widget. Those details, if collected, are handled by the retailer through their own checkout and account systems.
2.2 Information about retailers and their staff
If you are a retailer or work for one, we may collect:
- Contact details (name, business email, role, phone number).
- Account credentials for our dashboard (hashed passwords, access logs).
- Billing and subscription information.
- Support communications and account notes.
3. How we use the information
3.1 To provide the visualiser
We use uploaded room photos and product images solely to generate a visual preview that shows how a product might look in the shopper’s real room. This processing includes sending images to our AI infrastructure (for example, Google Gemini or similar providers) to perform image analysis and generation.
3.2 To improve accuracy and reliability
We may use technical logs and anonymised or aggregated data — such as how often a given product is visualised or error rates for certain image types — to improve placement quality, scale matching, and system performance.
3.3 Analytics for retailers
We provide retailers with usage analytics, such as:
- Number of visualisations per product or per day.
- High-level conversion or engagement metrics (where integrated).
- Performance and error statistics.
These reports are designed to be privacy-first. We do not include shoppers’ names, contact details, or precise addresses in these analytics.
3.4 What we do not do
- We do not sell personally identifiable information about shoppers.
- We do not build individual behavioural profiles of named shoppers across different retailers.
- We do not use room photos to identify the shopper, their exact home, or other occupants.
Where we use aggregated or anonymised statistics (for example, “X% of sampled living room photos contain a TV stand”), these are produced in a way that cannot reasonably be used to identify a specific person or household.
4. Legal bases for processing
Where applicable data protection laws (such as the UK GDPR or EU GDPR) apply, our legal bases include:
- Performance of a contract – providing the Service to retailers under our agreement.
- Legitimate interests – running, securing and improving our Service, fraud prevention, and providing retailers with non-intrusive analytics, balanced against the rights and expectations of individuals.
- Consent – where the retailer obtains appropriate consent from shoppers for cookies, analytics or AI processing in line with local law.
5. Sharing and third-party processors
We may share data with carefully chosen third parties who help us operate the Service, including:
- Cloud hosting providers (for servers, storage and backups).
- AI infrastructure providers (e.g. Google Gemini) that process images to generate visualisations.
- Payment and billing providers (for retailer subscriptions).
- Error monitoring, logging and security tools.
These providers act as data processors under written agreements and may only process data in accordance with our instructions and applicable law.
6. International transfers
Our infrastructure and third-party providers may be located in different countries. Where data is transferred outside the UK or European Economic Area, we rely on appropriate safeguards, such as standard contractual clauses or equivalent measures, as required by law.
7. Data retention
We retain data only for as long as necessary for the purposes described in this Policy or as required by law. In general:
- Room photos used for visualisation may be kept for a limited period to support re-generation, fraud checks, system stability and quality improvements, after which they are deleted or irreversibly anonymised.
- Technical logs and analytics may be retained for longer in aggregated or pseudonymised form.
- Retailer account and billing data is retained for the duration of the contract and a reasonable period afterwards for legal, accounting and audit purposes.
8. Your rights
Depending on where you live, you may have rights such as:
- Accessing the personal data we hold about you.
- Requesting correction, deletion or restriction of your data.
- Objecting to certain types of processing.
- Data portability.
- Withdrawing consent where processing is based on consent.
If you used the visualiser on a Retailer Site, please contact that retailer first, as they will generally be the data controller. We will assist them in responding to valid requests where we are the processor. If you have interacted directly with us (for example, as a retailer or via our own site), you can contact us using the details below.
9. Security
We take appropriate technical and organisational measures to protect information from accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. However, no internet-connected system can be guaranteed to be 100% secure.
10. Cookies and similar technologies
Our widget and dashboard may use cookies or similar technologies to maintain sessions, prevent abuse, and provide anonymised analytics. Retailers are responsible for presenting and managing any cookie banners or consent mechanisms required on their own sites.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date above and, where appropriate, notify retailers or post a notice on our site.
